COMPARE

Zapier vs n8n for contractor automations

Both move a new lead from one app to the next without anyone copying and pasting. The difference is who builds it and who keeps it running.

HOW TO CHOOSE

Pick by situation, not by hype.

Choose Zapier when…

  • Nobody on your team writes code and nobody wants to.
  • You need a few simple links: form to CRM, new lead to a text alert.
  • You want the office to fix small breaks without calling anyone.

Choose n8n when…

  • You have, or pay for, someone technical to own the automations.
  • Your flows branch: different trades, areas, or job sizes go different ways.
  • You want lead data on a server you control.
  • You need custom steps that ready-made connections don’t cover.
Our honest take

The tool matters less than the map behind it: what happens in the first minute after a homeowner books, who gets alerted, which text goes out, and what happens if nobody answers. Write that down first. Then pick the tool your team or your partner can keep running, and make sure someone besides the builder knows what each automation does. A silent failure can leave leads untouched for days.

RUN YOUR NUMBERS

Lead response time: how long do your leads wait for a reply?

Daytime leads might hear back in minutes. Night and weekend leads often sit until morning. Count how many cross the one-hour line.

STRAIGHT ANSWERS

Questions we hear.

Do I need Zapier or n8n if my CRM has automations built in?

Often not. Many CRMs handle follow-up texts, reminders, and pipeline moves inside the account. Connector tools earn their place when data has to move between apps that don’t talk to each other directly.

Is self-hosting n8n worth it for a contractor?

Only if someone will look after the server: updates, backups, and security. Self-hosting gives you control and also makes you responsible for the machine it runs on. n8n’s cloud option takes that job off your plate.

What should a contractor automate first?

The moment a new inquiry arrives: an instant text to the homeowner (with their consent) that names your business, an alert to whoever calls them back, and the lead logged in your CRM. Get that working before anything else.

How do I know an automation stopped working?

Turn on error alerts in whichever tool you use, and send a test lead through the whole path on a schedule. If the test doesn’t arrive where it should, you find out before a homeowner does.
